Legal Assistant

The legal assistant furnishes administrative and secretarial support for multiple attorneys. Performs transcription of legal documents, correspondence, contracts, or briefs. Reviews and edits prepared documents for accuracy. This position reports to the Director of Operations.
ESSENTIAL FUNCTIONS
- Communicates effectively with clients and other external and internal administrative personnel.
- Managing schedules; coordinates and organizes meetings and travel.
- Creates and transcribes legal documents, correspondence, contracts or briefs.
- Proofreads and edits prepared documents for accuracy.
- Enters and closes time per the attorney’s preference.
- Edit client bills and manages process along with representative from Financial Services Department.
- Maintains open communication with attorneys and supervisor regarding assignments, workflow and attendance.
- Providing general administrative support as needed, including greeting clients and guests; sorting and distributing all mail and deliveries to appropriate attorneys; stocking of various supplies for conference rooms as well as maintaining quantities of office products as needed.
- Understands and prepares and handles e-Filing for various courts as warranted.
- Perform other tasks as required.
- Performs research and maintain files and attorney calendars.
OTHER FUNCTIONS
- Understands the practice area(s) in which support is provided.
- Maintains open communication with supervisor regarding assignments, workflow and attendance.
REQUIRED EXPERIENCE, LICENSES, CERTIFICATIONS, ABILITIES, OR KNOWLEDGE
- A minimum of three to five years’ experience as a legal secretary or legal assistant.
- Ability to communicate clearly, both orally and in writing.
- High level of proficiency in Microsoft Office applications including MS Word, Excel, PowerPoint, and Outlook, as well as experience in working with styles and document comparison software. Keyboarding speed at least 60 words per minute.
- Ability to prioritize and organize multiple tasks.
- Attention to detail and problem-solving ability.
- Ability to operate effectively under pressure.
- Understanding of legal terminology.
- Ability to deal discreetly with confidential information.
MINIMUM EDUCATIONAL REQUIREMENTS
- High school degree or equivalent.
WORKING CONDITIONS AND SAFETY HAZARDS
- Occasional overtime work may be required throughout the year.
